Position Overview

The Safety & Security and Operations Coordinator will be supporting the work of the Regional Support Managers within the S&S Department to improve the delivery of resources and communications related to S&S at CHAI. The Coordinator will be responsible for providing support to all global and operations teams, including day-to-day support and risk mitigation, and will participate in incident response efforts. The Coordinator will also be supporting CHAI's global operational needs, working closely with the Director of Global Operations to develop and implement operations initiatives organization-wide. This multi-faceted position presents a unique opportunity to build relationships within CHAI's operations, country and programming teams and to gain an understanding of the risk management functions within an S&S Department, as well as exposure to the operational needs of an international non-governmental organization.

This position is based in Boston, MA and will report to the Regional Manager, Asia and the Americas on the work stream pertaining to Safety & Security, and report to the Director of Global Operations on the work stream pertaining to Global Operations.

Safety and Security
Acts as the primary liaison with all global operations teams
Shares responsibilities with Regional Safety and Security Managers for incident response management across all CHAI teams, with specific responsibilities for global teams
Identifies, trains and manages S&S liaisons on each global and operations team
Provides operational support to the S&S Department, including the day-to-day work planning and execution of team strategies
Works closely with Regional Safety and Security Managers and Liaisons to ensure that all department deliverable deadlines are met
Advises global team senior leaders on safety and security risk exposure and develops risk mitigation plans to reduce vulnerability
Develops and coordinates accurate reporting to be shared as needed with a variety of audiences, including CHAI leadership
Manages and tracks incidents and develops all incident reports for CHAI leadership
Identifies trends in S&S incidents, and proposes changes to overall departmental strategy
Develops and maintains tools to support travelers and staff, including trainings and resources
Manages the performance of the TRIPS System and leads initiatives to increase participation in and usefulness of the system; this computer software program aggregates travel itineraries for staff members and allows the organization to identify staff who may be affected by large-scale incidents
Leads S&S-related trainings for individual travelers and new hires, including sharing all available internal and external resources
Develops and formalizes S&S trainings across the organization
Maintains and routinely updates S&S Website

Global Operations:
Works closely with the Director of Global Operations to identify operational gaps within the organization and develop projects to address them
Supports the Director of Global Operations on operational initiatives, including the ongoing work of the Operations Working Group, and other key organization wide initiatives
Actively maintains CHAI's Onboarding Website and partners with Global Human Resources to develop initiatives to continually strengthen the onboarding process
Provides logistical support to global, country and program teams to plan and manage meetings
As needed, supports the Chief Operating Officer and Vice President of Global Operations
Addresses ad hoc staff queries
Performs other duties as needed


Occasional international travel may be required (<10%)


Bachelor's degree; minimum two years of experience in a similar role or capability


Ability to be effective in high-pressure situations, handle multiple tasks simultaneously, and set priorities


Ability to work with leaders at the highest level of the organization, including providing recommendations that are based on thoughtful and accurate critical analysis and demonstrate sound judgement
Practical project management experience, including working with various stakeholders across numerous departments
Strong organizational skills, including tracking and supporting multiple work streams for diverse colleagues
Ability to work independently while also collaborating on shared work with colleagues
Strong writing, editing, research, with excellent attention to detail
Ability to communicate effectively with people of varied professional, cultural, and educational backgrounds and under pressure
Ability to plan work streams in advance in a detailed manner
Strong research skills
High levels of proficiency in Microsoft Word, Excel, PowerPoint, and internet applications
Strong work ethic, supported by commitment and follow-through
Demonstrated interest in international affairs, risk management and /or global development
